Job Summary:

The Human Resources Administrator (Administrative Assistant) supports the Human Resources and Fleet Personnel departments with various administrative tasks.

Key Responsibilities:

  • Manages and maintains all Human Resources and Fleet Personnel general e-mail inboxes
  • Maintains department filing systems and files for departments
  • Sorts and distributes incoming and outgoing mail/deliveries/couriers/faxes for both departments
  • Uploads personnel documents, training certificates and correspondence between vessel and shore employees
  • Accurately transcribes meeting minutes in a timely manner
  • Prepare vendor forms and cheque requisitions
  • Code invoices for Accounts Payable and payments
  • Maintains inventory of departmental office supplies
  • Order flowers/gifts as per company policy
  • Assists Manager, Disability & Risk Management by entering occupational and non-occupational claims in company database
  • Assists Manager, Human Resources with employee recognition program, scholarship program and scheduling interviews/reference checks for candidates
  • Administers organizational charts and takes photos for new hires
  • Provides job candidates by screening applications, maintaining personnel records and communicating with external agencies
  • Provides administrative support to AVP Human Resources and AVP Fleet Personnel

Qualifications:

  • High School diploma
  • Post-Secondary education in Business Administration or another related field preferred
  • 3 years’ experience in an Administrative Role
  • Proficient with Microsoft Office, particularly Excel, Word and PowerPoint
  • Effective communication skills (written and verbal)
  • Ability to build and maintain working relationships with stakeholders
  • Strong attention to detail and accuracy
  • Excellent organization, multi-tasking and prioritization skills
  • Capable of identifying and resolving problems in a timely manner
