Job Summary 

The Administrative Assistant provides efficient, timely and accurate administrative and clerical support. 

Duties & Responsibilities 
  • Coordination and distribution of external communications
  • Government and regulatory registrations and filings
  • Communications with Board of Directors, Officers and Executive
  • Expense reports
  • Travel and other meeting arrangements
  • Support events management of company meetings and social events
  • Storage, filing, shredding and archiving (digital and hard copies)
  • Phone, email and fax screening, calendar, and contacts administration
  • Prepares and distributes communications, announcements, department materials
  • Prepares agendas and minutes of meetings
  • Provide backup and support to other reception and administrative positions
  • Support company and social media communications as needed
  • Lease administration
  • Manage property administration including parking for all building tenants
  • Other administrative tasks as required from time to time
  • Post-secondary education in Business Administration or related field preferred
  • Highly proficient with Microsoft Office products including MS365
  • Effective communication skills (verbal and written)
  • Ability to build and maintain working relationships with stakeholders
  • Strong attention to detail and accuracy
  • Excellent organization, multi-tasking and prioritization skills
Working conditions
  • Operates in a professional office environment with standard office equipment
  • Requires occasional after hours and on-call/evening/weekend work
Physical requirements
  • Ability to sit for long periods of time
  • Regularly required to talk/hear/communicate
  • Daily use of standard office equipment such as computers, printers, and phones
  • Ability to occasionally lift office equipment up to 20 pounds
