The Administrative Assistant provides efficient, timely and accurate administrative and clerical support.
Duties & Responsibilities
- Coordination and distribution of external communications
- Government and regulatory registrations and filings
- Communications with Board of Directors, Officers and Executive
- Expense reports
- Travel and other meeting arrangements
- Support events management of company meetings and social events
- Storage, filing, shredding and archiving (digital and hard copies)
- Phone, email and fax screening, calendar, and contacts administration
- Prepares and distributes communications, announcements, department materials
- Prepares agendas and minutes of meetings
- Provide backup and support to other reception and administrative positions
- Support company and social media communications as needed
- Lease administration
- Manage property administration including parking for all building tenants
- Other administrative tasks as required from time to time
- Post-secondary education in Business Administration or related field preferred
- Highly proficient with Microsoft Office products including MS365
- Effective communication skills (verbal and written)
- Ability to build and maintain working relationships with stakeholders
- Strong attention to detail and accuracy
- Excellent organization, multi-tasking and prioritization skills
- Operates in a professional office environment with standard office equipment
- Requires occasional after hours and on-call/evening/weekend work
- Ability to sit for long periods of time
- Regularly required to talk/hear/communicate
- Daily use of standard office equipment such as computers, printers, and phones
- Ability to occasionally lift office equipment up to 20 pounds
